When you buy PR software or press release distribution in the Netherlands, the invoice is not just a receipt. It carries VAT rules, payment terms, currency choices and legal requirements that affect your cash flow and your tax return. This guide explains how a Dutch PR invoice works in 2026, what amounts to expect, and which details to check before you pay.
What does a Dutch PR invoice look like in 2026?
A Dutch PR vendor must show its VAT number, KvK (Chamber of Commerce) registration and legal address on every invoice. The invoice date, the service period and the reading date are three separate dates that a finance department checks against the quote. For example, PR-Dashboard lists its address on the Herengracht 450 in Amsterdam and publishes its product prices on pr-dashboard.nl, read 1 September 2026. The invoice should match that legal entity exactly.
How does VAT work on a PR invoice from a Dutch vendor?
Dutch VAT (btw) is 21% in 2026. A Dutch vendor shows the price excluding VAT, the VAT amount and the total including VAT. If you are a Dutch company with a valid VAT number, you can reclaim the VAT.

How do payment terms and invoicing rhythm affect your cash flow?
Payment terms on a Dutch PR invoice are usually 14 or 30 days. A longer term helps your cash flow but may carry late payment interest if you miss the date. The invoicing rhythm matters too: some vendors bill monthly, others yearly.

How does a finance department check a PR invoice against the quote?
A finance department compares the invoice date, the service period, the unit prices and the total. If the invoice shows a different price than the quote, the buyer should ask for a credit note. A credit note is also used when a user or module is cancelled mid year.
Split invoices for two departments sharing one licence require clear cost centre numbers. Purchase order numbers and cost centres should be printed on the invoice before it is sent. E-invoicing via PEPPOL is mandatory for Dutch government buyers of PR software in 2026.
What should a Dutch sole trader check on a PR invoice?
